Bernalillo County is going paperless. The general public can access a lot more information about what will be discussed at the next Bernalillo County commission meeting.
For the last year, the county has been working with IQM2 (Intelligent Meeting Management) to configure, set up, and train staff on the Minute Traq software, which IQM2 developed to operate the automated agenda system. Using the new electronic system will save time, money and trees.
Since last July, the county manager’s office has used over 40,000 pieces of paper for photocopies. Much of that paper was used to put together multiple agenda packets in preparation for various public meetings, including the bi-weekly county commission meetings. Now, all of that paper won’t be needed because the entire agenda packet will be available on the website. The packet could include maps, photos and other detailed documentation. The county will save approximately $2,000 a year on paper costs alone.
There are other benefits to converting to the new agenda management system. The quality of live webcasting will improve, and residents who are unable to attend the commission meetings can still watch the video online. There’s a new feature that synchronizes the agenda item with the video. Online users can randomly select an agenda item and the corresponding video will play instantly.
Minute Traq will also be useful to employees who are responsible for creating meeting agendas. The software has a functionality that helps facilitate greater efficiency in how employees collaborate while constructing meeting agendas.
